1. Why Spec Sheets Matter for Brand Buyers

When you request a quote from a ribbon factory, the response often comes with a technical specification sheet — a document listing materials, dimensions, weight, colorfastness, and more. If you're new to importing, these sheets can feel like walls of jargon. But understanding them is critical.

A misread specification has real consequences: a ribbon that's too stiff for your floral arrangement line, a GSM that's too light for your luxury packaging, or a color that shifts under washing. This guide decodes every term you're likely to encounter on a ribbon factory spec sheet.

💡 Quick tip: Always request the spec sheet BEFORE placing a bulk order — even for reorders. Factories update formulations, dye lots, and material sources regularly. A new batch can differ noticeably from your last order.

2. Material & Composition Terms

100% Polyester (PET)
The most common ribbon material. Polyester offers high strength, UV resistance, and colorfastness. Ideal for outdoor, fashion, and heavy-use applications. Most RPET (recycled polyester) ribbons are also PET-based.
Satin (Polyester Satin / Acetate Satin)
Not a material — a weave type. Polyester satin uses high-denier filaments for a glossy surface; acetate satin has a silkier drape. Always check the base fiber, as "satin" alone is ambiguous.
Grosgrain
A tight, ribbed weave (traditionally silk, now typically polyester). Grosgrain ribbons are durable, hold shape well, and accept printing excellently — why they're popular for brand logos and retail tags.
Organza (Nylon / Polyester)
A sheer, lightweight weave. Nylon organza is more common from China factories. Very fine denier filaments create the transparent effect. Note: nylon organza has lower heat resistance than polyester.
Velvet (Woven / Non-Woven)
Woven velvet uses a double-face weaving technique for a plush, dense pile. Non-woven velvet (often polyester) is more budget-friendly. Check the pile direction and density — heavier velvet holds bows better.
RPET (Recycled Polyester)
Ribbons made from post-consumer recycled plastic bottles. RPET uses GRS (Global Recycled Standard) or RCS (Recycled Claim Standard) certification. RPET ribbons have identical performance to virgin polyester but carry sustainability claims.
Bamboo Fiber / Cotton
Natural fiber ribbons, typically used for luxury and sustainable packaging lines. Bamboo is antibacterial and biodegradable; cotton is breathable and washable. Both have lower tensile strength than polyester.

3. Weight & Density: GSM & Denier

These two metrics define the "heaviness" of a ribbon — arguably the most important physical property after material type.

TermFull NameWhat It MeasuresTypical Ribbon RangeNote
GSMGrams per Square MeterWeight per unit area — fabric density25–200 GSMLower = lighter/sheer; Higher = heavier/opaque
Denier (D)Grams per 9,000 meters of fiberIndividual filament weight20D–300D filamentsHigher denier = coarser, more durable
TexGrams per 1,000 meters of yarnYarn weight (less common on spec sheets)8–100 TexUsed mainly for industrial/technical ribbons
How to use this: For printed logo ribbons used in luxury gift packaging, aim for 80–120 GSM (grosgrain or satin). For Christmas decorative bows, 120–180 GSM provides better body. For hair bows, 40–70 GSM organza gives the right floaty drape.

4. Dimensions: Width, Length & Thickness

幅宽 (Fú Kuān) / Width
The horizontal measurement of the ribbon in millimeters (mm) or inches (in). Common widths: 3mm (⅛"), 6mm (¼"), 10mm (⅜"), 16mm (⅝"), 25mm (1"), 38mm (1½"), 50mm (2"), 75mm (3").
Thickness (mm)
Measured in millimeters — the depth of the ribbon when laid flat. Affects stiffness and how well a bow holds its shape. Grosgrain is typically 0.3–0.8mm; velvet can be 1.0–2.5mm.
Roll Length / Put-Up
The length of ribbon on each roll. Standard put-up ranges from 10 yards (9.14m) to 100 yards (91.4m). Custom put-ups are available for bulk orders. Longer rolls reduce roll changes in automated packaging lines.
Core Size
The inner cardboard or plastic tube diameter. Standard is 1.5" (38mm) or 3" (76mm). Industrial users with high-speed dispensers typically require 3" cores for consistent unwinding.

6. Color & Dye Specifications

PANTONE / PMS
Pantone Matching System color references. Always provide a PMS number when branding matters. Factories will try to match — but note that dye batches vary, and 100% match on ribbons is rare. Request a strike-off sample first.
CIE Whiteness
A whiteness index used primarily for white ribbons. CIE Whiteness values of 130+ indicate a bright white. For medical or hygiene packaging, DIN Whiteness (Whiteness Index) values may also be specified.
Colorfastness Grade (Grade 1–5)
ISO 105 rating for color stability. Grade 4–5 = excellent. Common tests on spec sheets: washing (C06), light/Xenon (B02), rubbing/crocking (A01), sea water (E01). Grade 3 or below risks color transfer on skin or fabric.
⚠️ Critical for apparel brands: If your ribbon will be sewn into clothing, always specify colorfastness to washing (ISO C06) and perspiration (E04). A Grade 3 washfastness ribbon can bleed onto garments and cause costly recalls.

7. Finishing & Functional Treatments

TreatmentWhat It DoesBest For
Water-Resistant / WRRepels water; does not make fully waterproofFloral wraps, outdoor décor
Heat-Set / Heat-StableWon't melt or deform at moderate heat (up to 200°C)Hot-stamping, heat-press applications
Anti-StaticReduces static cling during cutting or automated handlingHigh-speed packaging lines
UV-Resistant / UV-StabilizedResists fading from sunlight exposureOutdoor use, window displays
Flame-Retardant (FR)Self-extinguishing or low burn rateAutomotive interiors, children's products
Softening / MercerizingCotton/silk process that increases sheen and softnessLuxury packaging, apparel trims

8. Incoterms & Pricing Terms on Spec Sheets

MOQ (Minimum Order Quantity)
The minimum quantity per color, per design. Standard MOQ ranges from 500m to 3,000m. Smith Ribbon offers flexible MOQ starting from 500m for custom printed ribbons. Lower MOQs typically carry a price premium.
FOB (Free on Board)
Seller delivers goods onto the vessel at the port of export. Buyer bears freight, insurance, and import duties. Most common Incoterm for ribbon imports from China. FOB Xiamen, FOB Shanghai, FOB Shenzhen are typical.
CIF (Cost, Insurance & Freight)
Seller pays for carriage and insurance to the destination port. You still handle customs clearance. Useful if you want one invoice covering goods + sea freight + basic insurance.
DDP (Delivered Duty Paid)
Seller handles everything including import duties and taxes. Easiest for buyers — you receive goods at your door. Most expensive option. Useful for first-time importers or small orders.
CMT (Cut, Make & Trim)
Factory pricing includes only the manufacturing cost. You source materials (fabric, accessories) separately. Rarely used for ribbon since the material IS the product, but appears on spec sheets for fully assembled bows or finished packaged sets.

9. Quality Assurance Abbreviations

Factory spec sheets often include QA codes that determine whether your shipment passes or fails inspection.

AbbreviationFull TermWhat It Means
AQLAcceptable Quality LevelIndustry-standard sampling plan (e.g., AQL 2.5 = max 2.5% defects acceptable). Always specify your AQL requirement before ordering.
QCQuality ControlFactory inspection before shipment. Types: IQC (incoming), IPQC (in-process), OQC (outgoing).
PPAPProduction Part Approval ProcessFormal approval that production process can consistently make parts to spec. Common in automotive and electronics supply chains; ask if you need it.
SSCCSerial Shipping Container CodeGS1 barcode label for logistics tracking. Required by major retailers (Walmart, Target) for pallet-level traceability.
IATA / DGRInt'l Air Transport Assoc. / Dangerous Goods RegsApplies only if ribbon is treated with flammable finishes or contains restricted chemicals. Usually not relevant for standard polyester ribbons.

10. How to Request a Sample Spec Sheet from a Factory

Before committing to a bulk order, request these documents from your supplier:

  1. Technical Data Sheet (TDS) — Full material and physical property specs
  2. Test Reports — Third-party lab results for colorfastness, tensile strength, chemical safety (OEKO-TEX or equivalent)
  3. Color Strike-Off / Lab Dip — Physical color sample matching your PMS reference
  4. Sample Roll — 5–10 meter sample of the actual product, not just a photo
  5. Factory Audit Report — If not already on file (BSCI, SEDEX, or equivalent)
