Why Most Ribbon RFQs Fall Apart Before the Quote Arrives
You send a request for quote. You wait three days. The supplier responds with a price — but it's for the wrong width, the wrong material, and assumes a 5,000-meter order when you need 800. You go back and forth for two weeks, exchange twelve emails, and still don't have a clear number.

The 7 Must-Have Sections of a Ribbon RFQ
1. Product Description: Material, Type & Construction
Specify the ribbon base material first — this is the single most important variable affecting price and lead time. Common options:
- Polyester satin — Most popular, cost-effective, wide color range
- Grosgrain polyester — Textured, durable, ideal for retail packaging
- Organza / sheer — Decorative, lightweight, translucent
- Velvet / microfiber — Premium feel, luxury brands
- Jacquard woven — Pattern woven in, no print needed, highest durability
Include whether you need single-sided or double-sided printing, and whether the ribbon should be wired-edge or non-wired.
2. Dimensions: Width, Length & Thickness
Width tolerance matters more than most buyers realize. A ribbon specified as "3/8 inch" can range from 9mm to 11mm depending on whether the manufacturer uses metric or imperial conversion. Be explicit:

- Artwork format: AI or EPS vector files are required for print production. PDFs are acceptable for reference only — not for plate-making.
- Color system: Specify Pantone (PMS) codes for each color. Do not say "navy blue" — Pantone 281 C and Pantone 2736 C are both navy but print very differently.
- Print method: Rotary printing (cost-effective for large runs), flexographic, or heat transfer — each produces different color saturation and detail resolution.
- Color matching: Request a lab dip or strike-off sample before bulk production. Delta E (ΔE) tolerance of ≤3.0 is standard for most brands; luxury buyers typically require ≤2.0.
4. Quantity & MOQ Clarity
State your anticipated order quantity honestly — and ask the supplier to quote on multiple quantity tiers. This reveals the real cost curve and helps with volume planning.

- Physical testing: Rub fastness (crocking), wash resistance if applicable, light fastness (ISO 105-B02 minimum Class 4)
- Pre-shipment inspection: Specify AQL level (typically 2.5 for general products, 1.5 for luxury)
6. Packaging & Labeling Requirements
Packaging is often overlooked in RFQs but has real cost implications. Specify:
- Individual roll wrapping (plastic bag, cardboard disc, or paper core)
- Carton dimensions and weight limits for your freight carrier
- Labeling: factory label only, or your own brand label with barcodes/SKUs
- Palletization requirements for FCL (full container load) shipments
7. Target Price, Incoterm & Delivery Timeline
Suppliers quote differently depending on whether you want FOB, CIF, or DDP pricing. State your preferred incoterm and target destination upfront. Also communicate your production timeline requirements:
- Do you need samples before a production decision?
- Is this for a seasonal launch with a hard launch date?
- What is your acceptable lead time range (standard: 14–21 days for print production + 5–7 days shipping)?
